Birthday Party Policies

Big Picture Gallery & Studio Birthday Party Contract:

Thank you for booking a birthday party with Big Picture! Our studio is a very special place and we are excited you chose to celebrate with us!  Adhering to the following contract will ensure our staff is able to provide you with a lovely experience.

Please CAREFULLY read this email. It will serve as a contract and your payment of the deposit will serve as acknowledgment and agreement to the contract in full.


Deposit:

The base fee must be paid as a deposit to reserve your spot.

Base Fees:

  • 11 x 14 Canvas Painting Parties: $175, 1.5 hours

  • 16 x 20 Canvas Painting Parties: $200, 2 hours

  • Ceramic Parties: $225 - 2 hours

Per Participant Supply Fees:

11x14 Small Canvas - $10 per participant

16x20 Large Canvas - $12 per participant

Ceramics - $14 per participant


Party Durations:

  • Small canvas (11x14) parties are 1.5 hours

  • Large canvas parties (16x20) and ceramics parties are 2 hours

*These durations are set to allow the correct amount of time for a drawing activity, the painting or ceramic project and cake (or food) and presents. Adherence to this timing is required. If set times are not adhered to, an additional charge of $25 will be added to the payment at the end of the party.


RSVP:

  • The studio MUST be informed of total number of guests attending in writing (email or text) no later than 48 hours prior to the party. 

  • Once the number of guests has been confirmed, guests may be added for additional charge of $15 per guest. 


Arrival:

  • Please do not arrive more than 15 minutes before your scheduled party time. Doors will not be unlocked prior to that time.

  • Should you require more than 15 minutes to set up for your party, you are welcome to pay an additional $25 fee and come 30 minutes early. Please let us know, at least 48 hours in advance of your party, if you are needing additional set up time. 


Decorations:

  • Minimal decorations are acceptable

  • Decorations must be set up and cleaned up during the 15 minutes prior to and 15 minutes following your party.


Food:

  • You are welcome to bring any food or drink that you would like to serve to your guests.

  • Please put Ice cream or anything that needs to be kept cold in a cooler. 

  • Providing silverware, plates, napkins, knives and cake servers are the responsibility of the hosting family.


Participants:

  • Participants must be at least 3 years of age or older.

  • Adults must accompany 3 and 4 year-old participants in case they need assistance.


Timing:

Approximate break-down of the party schedule:

  • First 10 minutes: guests arrive - drawing activity

  • Next Hour- Hour and a half: Painting/ Art Activity

  • Remaining Time:  cake/snacks and presents

  • If there is extra time, hosting family or staff can play a game with party guests.


Cancelation:

  • Should your child become ill, please let us know as soon as possible and we will do our best to reschedule the party with you.

  • The base fee is non refundable and will not be refunded If you choose to cancel your booking for your party.


Instructor Illness or Emergency:

  • If our instructor becomes ill or experiences an emergency, we will do everything possible to find a qualified substitute. If we are unable to find a substitute we will reschedule your party to a later date if possible or refund your deposit.


Behavior, Late Arrivals and Additional Information:

  • Our parties are an instructor led art experience, This means it is important for all participants to be present within 15 minutes of the set start time. We will do our best to accommodate late arrivals, but can not guarantee that they will be able to participate.

  • In order to provide high quality instruction, we ask that adult attendees talk quietly while instruction is being provided to the participants. 

  • Children are expected to behave in an appropriate manner at the studio. If expectations are not met and participants do not respond to verbal corrections, they will be asked to leave the studio.

  • We also ask that children do not run in the studio, as there are lots of fragile projects that could be damaged.
